My name is M. S. Mohan and let me begin this letter by introducing myself. 

I am currently working with Zest Trading & Contracting W.L.L., Qatar handling Supply Chain & documentation works of importation of cargo.  I have a transferable visa and NOC to work.

My current RP is valid up to 04-Aug-2024 

  • Detailed-oriented and responsible Trade Finance Specialist with over 20 years of experiences in handing world-wide L/C processing and export / import documentation with unique skill to negotiate error free shipping documents and secure export payments. Lead a team of L/C processing & export shipping documentation for different countries.
  • Extensively handled L/Cs - Usance & At Sight, Standby, Transferable, Back-to-Back, Revolving, Red clause credits.   Guarantees, Documentary collections and Open Credit. 
  • Names of prominent hydrocarbon companies worked:
  • Qatar Chemical and Petrochemical Company (MUNTAJAT) QPJSC & Qatar Petrochemical Company Ltd (Qapco), Doha – Qatar (from 2001 to 2020).

I have over 20 years of experiences in handling in Documentation works and I possess excellent exposures to Supply Chain Management of plastic resin raw materials with strong exposure to L/C and bank guarantees

I have good PC skills in – MS Office, SAP, ERP/OMSS, Business Objects, Lotus-Notes & Outlook business communication E-mailing platform

I have a Bachelor’s Degree in Commerce with additional qualification including Export Business, Google Project Management Professional (PMP) Certificate, Member of PMI (Project Management Institute International Logistics Management – (ILM), Supply Chain Management and Certified Professional in Distribution and Warehouse, Export Business Course, Facility Management (for further details of courses, please see attached CV).

List of works consists in Trade Finance: 

Monitoring L/Cs, checking, scrutinizing, guiding applicant draft L/Cs right from L/C opening stage, entering L/C text to SAP system, creating FD for L/C orders, asking   amendments, okaying LC & non-LC orders for shipment, preparing all types of Shipping Documents including 3rd Party documents, attestation of documents by Chamber of Commerce, Embassies, Ministry of Economics & Commerce, arranging inspection certificates of independent inspection agencies, and Customs Bayan/Exit certificates. All strictly adhering to UCP 600, ISBP norms & Incoterms. 

Moving of LCs from one bank to another bank for confirmation and/or silent confirmation on LCs.

Ensure workable L/C received before shipment schedule date.

Provide appropriate instructions for different types of B/Ls, different types of shipping certificates, Truck Consignment Notes and Load Port Surveyor reports etc., 

B/L draft checking, reviewing and approving final B/L, Seaway Bills drafts, Surrender B/Ls, Telex Release Messages, & Switch B/Ls. Checking vessels calling to sanction countries if any. 

Ensure customer receiving shipping documents for clearing cargo on time. 

Assist importers for Bank Guarantees in case shipping documents did not reach on time for clearing of cargoes.

Resolving discrepancies on documents with banks and with applicants. 

Follow-up of payment receivables. 

Constant contacts with banks for speedy advise of L/Cs, dispatch of negotiated shipping documents to applicant banks.  Negotiate for charges with banks. 

Responsible for preparation and distribution on LC & shipment related reports to managements

Proper records keeping/maintaining data of -  LC files/folders, amendments, checklist, last date of shipment, negotiation period and LC expiry dates. 

Coordinate with production entities for analysis reports and with  independent Surveyors for full load port survey reports such as SGS etc., 

Contact Shipping Company agents and Freight forwarders for sail information

Handle and prepare LCs and all shipping documents of  Buy & Sell trading where cargoes originating in foreign countries and cargo delivering in another foreign countries and documents negotiating in Qatar bank(s). 

Trade Finance team managements:

Properly assign LC and shipping documentation tasks to team members. Fix deadlines to finish L/C processing and documentation.  Give clear directions to team members and make sure it is understood. 

Maintain transparency among co-workers. Maintain tasks-for-the-day-timesheet. Ask for employees’ assessments and feedback on how long L/C processing and documentation work would take them, and use those timeframes for future course of actions. Assess whether time estimates need correction. 

Identify the right people with the right tasks. As work, increases assign tasks further down the pipeline. Track task completion and make necessary changes along the way 

Identify who burns through their workload and is available for additional tasks; also who struggles with work standards that need to be met, and the skill required to complete it.  Formulate a list of dependable people. Identify for assigning reliable employees who can address smaller issues, while I handle the big picture. 

Analyze schedules and take into account priorities and deadlines. Assign tasks based on priority, employee availability, employee skill level and based on employee performances. 

Allocate tasks and delegate tasks. Prioritize tasks and sort them out.  Schedule timely meetings of the team. Participate department meetings. Write minutes of meetings.

 Pair team members to handle product-wise and country wise documentation requirements.

Good skills in Microsoft Office, including Excel, SAP, ERP, Outlook Lotus notes

Detail-oriented, accurate task completion and time management abilities.

Was part of a project team that worked on integrating L/C documentation from Oracle based OMSS system to SAP system.

Coordinated forming & working standards for remote work teams during Covid 19.
