    • Provide a wide variety of complexadministrative and secretarial support to the RGM; communicatinginformation on behalf of the GM and ensuring the efficient runningof the GMs office. In addition, the role as required provideshigh-level of administrative and secretarial assistance to theMarket Hall Division Manager and Principals.
    • Answersphone calls and filters callers while maintaining log to keep trackof important messages and update the GM as applicable
    • Responsible for safe keeping of division legal documents i.e.supplier agreements, contracts, etc.
    • Observesconfidentiality when receiving and transmitting documents whilekeeping the logbook updated for the division
    • Composescomplex documents for the purpose of communicating information topersonnel, i.e. internal memos and announcements
    • Operates and maintains office equipment i.e. fax machine / copier /scanner)
    • Assist in the preparation of meetings for thedivision managers and other tasks related to office business of thedivision as required Takes action on business proposals (calls andemails), sending of apology/regret replies if unrelated to divisionbusiness and forwarding only to GM all potential businesses for hisreview
    • Completes a broad variety of administrative tasksfor the RGM including: managing an extremely active and dynamiccalendar of appointments; completing expense reports; composing andpreparing correspondence that is often confidential; arrangingcomplex and detailed travel plans, itineraries, and agendas; andcompiling documents for travel-related meetings with scheduling& its details.
    • Plans, coordinates, and ensuresthe GM's schedule is followed and respected. Provides'gatekeeper' and 'gateway'role, creating win-win situations for direct access to theRGM's time and office. Ensuring open door policy.
    • Assists in scheduling Division management team meetingsas necessary.
    • Works closely and effectively with the RGMto keep him well informed of his schedule, following upappropriately.
    • Communicates directly, and on behalf ofthe RGM with DM and personnel.
    • Works within broadlydefined guidelines within the division such as, takeover otherfunctions such as HR admin and Receptionist in their absence andprovide assistance to the market Hall employees as required.
    • Works as a back-office support for customers ensuringtheir complaints and request are channeled to concerned parties.
    • Coordinates with travel agencies and hotel reservationsofficers as required.
    • Coordinates with differentembassies to ensure that their policies and procedures are wellobserved to ensure smooth and fast application of visas. Skills
    • BA / BS Degree preferable
    • Knowledgeable inHotel reservation and Airlines ticketing
    • Understandingof visa application procedures of different Embassies
    • 5-years' experience as Executive Secretary or OfficeAdministration with multi-national companies; within GCC preferred( Major in Management)
