Providing general and administrative support such as preparing correspondence, forms and reports, composing regular correspondence, Inter Office Communications, Memos. Establishing, maintaining and controlling documents of personnel, employees, recruitment.


Assisting the Events Manager / Operations Manager in coordinating with clients/ QF Food services for all the details regarding the Event from planning to execution.


Liaise with events Head Chef and Pastry Chef about event menu's and menu changes as and when required, give allergen information to chef etc.


Coordinate with Operations Manager / Chef and Events team on last minutes revisions, changes, cancellations and do the proceedings accordingly.

Maintain updated Event forecast calendar/planner with relevant details. And complete documentation works to be done and maintained in hard and soft copies.


Coordinate with QF Events team on all aspects of Events planning, preparing Banquet Events Orders (BEO) for each event, preparing Buffet tags, Delivery notes for each event and submitting the Delivery notes to IFS Site Accountant for Invoice preparation & daily sales report.

Preparing and sending quotations with proper approval of the reporting manager and offer appropriate menus for proposed events.

Follow up calls & mails for getting the LPOs / Contracts / Pending Payments / Time Sheets & Payments.


Preparing Invoice summaries based on the time sheets for monthly invoicing and maintain internal payment tracker for all Events executed through QF events.

Arrangements to issue the PPEs to the employees in coordination with Events Supervisor / Events Manager.

Maintaining the soft copy of site wise employee's details and maintain good relationship with employees.

Responsible to visit regularly the clients work site, to assist and attend the staff on their work related requirements.


Responsible to coordinate with the concerned Departments and Units in relation to the staff visa and passports, legal documentation, staff health and welfare.

Responsible to update the daily attendance record, maintain up-to-date filing and recording of employee medical certificates.


Responsible to carry-out all internal and external written communication independently in a prompt, professional and effective manner with the clients, staff and other concerned personnel for smooth and effective functioning of the unit.

Responsible to maintain the confidentiality of all information including all personnel records and correspondences


To ensure that requirements related to Food Safety (ISO 22000:2018), Quality Management (9001:2015) and HSE (ISO 14001:2015 & ISO 45001:2018) are implemented and maintained within the department.

All documents/records related to Food Safety & HSE (where applicable) shall be kept up to date. Food safety/HSE Policy and objectives (as applicable to the department) to be followed and updated.

To perform any other duties / responsibilities assigned by the Operation Managers, Business Head and strictly maintain confidentiality of the company business dealings in accordance with Company's Policies & Procedures and any applicable state and Qatar laws


Ability to commute/relocate:

  • Doha: Reliably commute or planning to relocate before starting work (preferred)

Experience:

Event Coordinator: 3 years (preferred)


Language:


  • Arabic (preferred)
