    POSITION SUMMARY

    The AdministrativeAssistant will report to the Area Managing Director Luxury TrkiyeGulf Levant & Bahrain and dotted line to MVP Premium andSelect for Turkiye Jordan and Kuwait.

    The AdminAssistant should exercise a high degree of business acumen inmaking professional judgments and maintaining confidentiality. TheExecutive Assistant will provide proficient clerical andadministrative support to the Area Managing Director working withlimited supervision and minimal direction as well as being anactive team player and occasionally supporting the wider leadershipteam as necessary. This role will also take the lead on a number ofstrategic projects as defined by the Area Managing Director. TheAdministrative Assistant will have prior experience of working in ahighpressured environment and be able to demonstrate strongadministrative and organizational skills with particular attentionto detail. The Administrative Assistant must have the ability toprioritize tasks efficiently and in an accurate and timely manneroften under demanding timescales and at short notice.


    SCOPE

    Location requirements: The Administrative Assistant is to belocated at the Qatar office.

    • Language Requirements: High proficiency (speaking readingand writing) in English is required. Additional skills in anotherlanguage is a plus.
    • Travel Requirements: Thereis minimum business travel required.


    CANDIDATEPROFILE


    REQUIRED
    :

    Minimum of 5 yearsexperience in a similar position at Administrative Assistantlevel.

    Demonstrated experience in working in afastpaced multitask environment providing administrative support toSenior Executives.


    PREFERRED SKILLS ANDKNOWLEDGE:

    • Excellentorganizational interpersonal and communications skills
    • Sensitive to the dynamics of the regional cultures andexperienced in dealing with internal and external contacts at alllevels
    • Ability to maintain and treat highlyconfidential information with absolute discretion includingpersonal information of Area Vice President.
    • Very presentable with an approachable yet confidentpersonality; demonstrates flexibility and has a positive candoattitude.
    • Highly adaptable resilient and ableto work under pressure and to tight deadlines with limitedsupervision and minimal direction
    • Maintainshigh performance standards: ensuring that all work is effectivelycomplete monitors the progress of work against schedules anddepartmental requirements works effectively by using a highlycollaborative style
    • Creates an atmosphere inwhich timely information flows smoothly both upward and downwardthrough the department; possesses exceptional communicationsskills
    • Actively pursues learning andselfdevelopment to enhance personal professional and businessgrowth


    Education and ProfessionalCertification:

    • Must befluent in English both written and verbal and experienced atcommunicating at all levels
    • Excellent workingknowledge of MS Office Word Excel Outlook Teams andPowerPoint


    KEYRESPONSIBILITIES

    The following are specific responsibilities andcontributions critical to the successful performance of theposition:


    Administration:

    • Needs to be extremely efficient andprofessionally skilled in:
      • Preparing documentsusing Word Excel and PowerPoint applications.
      • Should have a high and accurate dictation and typingspeed.
      • Files and forward traces a variety ofdocuments appointments etc.
      • Prepares powerpoint presentations for meetings.
      • Processesincoming mail.
      • Screens telephone calls andvisitors without appearing to block their open door policyapproach.
      • Maintains office supplies forstakeholders.
      • Takes meeting minutes asrequested.
      • Budget control: create purchaseorders log budget transactions process department invoices andreports monthly.
      • Maintains email distributionlists as appropriate.

    Coordination

    • Maintains collates and distributes all relevant activityreports.
    • Coordinates venue agendas and minutesfor various meetings.
    • Coordinates travel andhotel accommodation arrangements as requested.
    • Sets up conference calls.
    • Maintainsdiaries and schedules appointments and meetings.
    • Responds to various requests for help andinformation.
    • Communicates with propertyassociates to provide information and resolve challenges on behalfof those she/he reports to.
    • Coordinates andhandles all related memberships and ensures they are current andtraces renewals for reevaluation.


    Other

    • Performs otherrelated tasks as assigned by management.
    • Complies with Marriott International Hotels LimitedRegional Office policies and procedures.
    • Strong communication skills.
    • Highlymotivated and willing to work in a fastpacedenvironment.
    • Ability to coordinate varyingneeds and prioritize to ensure best business results.
