    Job Purpose:

    Business Support Administrator isa full-time role within the Facility Management (FM) teamresponsible for supporting and centralized FM related activities atmanaged locations in Qatar.

    She/He is considered to have andmaintain an excellent understanding of the locations, the servicesprovided, its internal and external users to improve on workplaceexperiences and customer satisfaction.

    The Business SupportAdministrator provides support to the Facility Management team, butspecifically to the Soft Services manager and facilities manager.

    He or she plays an important role in the department's ladministration, Group Record Management, Plan on, Catering systemand provides administrative support.

    In depth analysis activitiesare carried out for multiple contracts with a focus on softservices and front office.

    On a regular basis the Soft ServicesAdmin it is expected to support the day today task and supportingto keep the HSE assurance consumable, stationeries tracks meetingsactions with the various interfaces.

    (Soft and catering serviceprovider, Plan on, share folder management, etc.)

    Typically, therole will analyse and support administrative processes of thefollowing services which directly impact and are therefore highlyvisible to all users of our portfolio:

    Job Duties &Responsibilities:To prepare HSE assurance documentation (Safetywalk reports and updates, Shell Real Estate HRA, UpdateSelf-governance plan and gatekeeper for SRE HSE documents for auditpurpose, coordinating to revalidating process documents etc.)Act asCatering document controller (Documentations, records management,track of catering request).Ensure track and reports for Stationaryitems and supplies as per SRE plan, i.e.

    quarterly updatingdocumentations, prepare records management, prepare track excelsheet of soft service walks and prepare reports of actions done.

    Actas Help Desk Agent for SRE (Approval interface, hard and softincluding catering services,).Planon (super user, Local gatekeeper,access permission, interface with Planon).Meeting Room Arranges forSRE (interface with Planon and service provider team for addingremoving meeting rooms).Space Planning for SRE (ensure and supportservice provider is updating necessary documentations in planon,Re-visual and occupancy register/ Quarterlyreview).


    Accountabilities:


    Provide support to keep track and takeownership of HSE assurance (safety walk, audit evidence) andmanagement documents of local HSE arrangements to deliver GoalZero, TQ Energy efficiency and compliance with workplace/buildingregulations, licenses & consents etc.

    No interface withSodexo Activities.

    Admin Supports the Soft Services Manager andFacility Manager on a day to day basis with annual, monthly andweekly business planning and performance management for FM andCatering contract including workplace HSE plan, business controlsand reporting.

    Prepare Quality and document control of relatedadministrative processes. Minutes of Meeting, SRE MI reports, (HSE)action trackers etc.

    SharePoint management and record keeping forSRE.Admin Support to keep Tracks of catering administrationprocesses, checks catering request and coordinate and update mealsmanagement data and internal charges, special requests, events andliaise with RE focal point and SBO team for timelyinvoicing.

    Analise catering forecasts and demand management withFood Monitors and prepare reports for Soft Servicesmanager.
    Responsible for timely submission and quality of cateringdata, internal charges and invoicing.


    Qualification :
    bachelor's degreeMinimum 5 years' experience inSame fieldDiploma in Computer or equivalent
