RECEPTIONIST

First Position

 

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office.
  • Answer, screen and forward incoming phone calls.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort and distribute daily mail/deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
  • Order front office supplies and keep inventory of stock.
  • Update calendars and schedule meetings.
  • Keep updated records of office expenses and costs.
  • Perform other clerical receptionist duties such as filing, photocopying and Faxing.
  • Able to work as a focal contact point between administration department and other departments
  • Respond promptly to customer inquiries.
  • Research required information using available resources.
  • Record details of inquiries, comments and complaints.
  • Handle all incoming/outgoing telephone calls and connect the caller to the correct department or required person in the Company and assist callers in a polite and pleasing manner.

ADMIN EXECUTIVE

  • Assist in the recruitment process from start to finish, including posting job adverts, processing received resumes, scheduling job interviews and processing joining documentation.
  • Ensure that new employee should pass all the requirements and documents needed for transferring of sponsorship and for HR files.
  • Assist new employees from other country for their requirements upon entering Qatar.
  • Arranging travel and accommodation.
  • Answers frequent questions from applicants and employees relative to company policies, benefits, hiring processes, etc.; refers more complex questions to HR Department Head.

  • Enrolled and generate biometric reports of all employees from showrooms, warehouse, roving staff and head office staff for monthly salary pay periods.
  • Review and check all monthly employee timesheets. Monitor absences, leaves, late and biometrics records.
  • Develop and carry out an efficient documentation and filing system for both paper and electronics records.
  • Creating spreadsheets, managing database and preparing presentations.
  • Order necessary office supplies, ensuring that we have enough for day to day operations.
  • Handle and process staff’s requests and queries professionally.
  • Accumulate weekly showroom staffs schedule.
  • Handle showrooms monthly pantry petty cash reimbursement for disbursement section.
  • Process all special items request from showrooms, warehouse and head office.
  • Review incoming documents.
  • Act as a point of contact between HR department head and staffs & managers in the floors.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
  • IT support for IT problems in the Head Office.
  • Create reports for management as and when required.
  • Perform regular file audits to ensure that all required documentation is collected and maintained.
  • Setting and managing the daily schedule of appointments for HR Department Head and Operations Manager.
