Overall Purpose OfRoleThe Administrative Assistant is responsible for assisting withday-to-day/administrative duties for the hospital.Essential JobDuties And Responsibilities Track and assist with in-processing andout-processing personnel (PCS and TDY) File and retrieve documentsand reference materials Collect data and prepare reports anddocuments Arrange and coordinate meetings and events Record,transcribe, and distribute minutes of meetings Monitor, screen,respond to, and distribute incoming communications Answer andmanage incoming calls Receive and interact with incoming visitorsLiaise with internal staff at all levels, while maintainingconfidentiality Track and report facility and environmental issuesManages office inventory and equipment by performing consistentstock checks, anticipating needed supplies, placing orders forsupplies Schedules maintenance for equipment service and repairs asneeded.
Actively participates in day-to-day office activities,including a variety of meetings and task force groups to improveprocedural processes, obtain approvals, and remain abreast of newdevelopments and policy requirements.
Actively participates in MassCasualty exercises and events.Performance of other duties asassignedExperience Required 3 years' experience providingadministrative support Proficient computer skills and in-depthknowledge of relevant software such as MS Office Suite Knowledge ofstandard office administrative practices and proceduresEducationRequired Current American Heart Association Basic Life Support(BLS) certification.
Proficiency in English both in reading andwriting. Other Special Requirements On call requirements as part ofa rotation if required. Ability to obtain and maintain a clearanceto drive company vehicles. Must be able to read, write and speakEnglish to effectively communicate. This position is unaccompanied.Ability to obtain a DOS mandated clearance one is required. Must beable to relocate to Doha, Qatar. A valid passport is required andmust be in your possession prior to relocation. You must maintain acurrent passport during your stay in Qatar.
