    ISPPHES Receptionist Role Profile

    Purpose of Role

    The Receptionist is the first point of contactfor the school. They assist in the successful administration of theschool and provide excellent administrative support and highlyconfidential secretarial services. The role requires the incumbentto promote an efficient and excellent service while maintaining theethos of the school. The Receptionist is responsible forcoordinating front desk enquiries distributing correspondenceredirecting phone calls. and directing people appropriately andefficiently. Ultimately a Receptionists duties and responsibilitiesare to ensure the front desk welcomes guests positively andexecutes all administrative tasks to the highest qualitystandards.

    ISP PHESReceptionist KeyResponsibilities

    Provision ofhighquality reception service including the efficient and courteousmanagement of incoming telephone calls and visitors in line withthe school guidelines

    Greet and welcome guestsas soon as they arrive at the school entrance

    Direct visitors to the appropriate person andoffice

    Answer screen and forward incoming phonecalls

    Coordinate frontdeskactivities

    Ensure reception area is tidy andpresentable with all necessary stationery and material (e.g. pensforms and brochures)

    Provide basic and accurateinformation inperson and via phone/email

    Receivesort and distribute daily mail/deliveries

    Administrative support across the school for office staff andteachers

    Maintain daily accurate fireregisters

    Log late children

    Meet and greet new parents / children

    Assistadmin office where necessary

    Maintain officesecurity by following safety procedures and controlling access viathe reception desk (monitor logbook issue visitorbadges)

    Order front office supplies and keepinventory of stock

    Update calendars and schedulemeetings

    Perform other clerical receptionistduties such as filing photocopying transcribing andfaxing

    Attend appropriate ProfessionalDevelopment Courses

    Initiate to improve thefront office environment

    Assist with Open DaysPrize Giving and other school functions andevents

    Health andSafety

    Emphasize the importance of safety in allareas of the curriculum communicating to the pupils the
    importance of a responsible attitude towards personal safety thesafety of others and respect for Park
    House EnglishSchools property and equipment

    Safeguard ParkHouse students

    Take all necessary and reasonableprecautions to protect students equipment materials andfacilities

    Assist in implementing all policiesand rules governing student life and conduct

    Ensure that all the necessary health and safety rules andprocedures are being followed

    Maintain anawareness of all the health and safety measures to be taken when inschool

    Skill andKnowledge

    Competencies

    Excellent communication skills andcommand of the English language in spoken and written form. Fluencyin Arabic essential

    • Secondary certificate
    • 3 years administrationexperience
    • English ismandatory
    • Arabic is an advantage
