    • Provide a wide variety of complexadministrative and secretarial support to the RGM; communicatinginformation on behalf of the GM and ensuring the efficient runningof the GMs office. In addition, the role as required provideshigh-level of administrative and secretarial assistance to theMarket Hall Division Manager andPrincipals.
    • Answers phone calls and filterscallers while maintaining log to keep track of important messagesand update the GM as applicable
    • Responsible forsafe keeping of division legal documents i.e. supplier agreements,contracts, etc.
    • Observes confidentiality whenreceiving and transmitting documents while keeping the logbookupdated for the division
    • Composes complexdocuments for the purpose of communicating information topersonnel, i.e. internal memos andannouncements
    • Operates and maintains officeequipment i.e. fax machine / copier /scanner)
    • Assist in the preparation of meetingsfor the division managers and other tasks related to office /business of the division as required Takes action on businessproposals (calls and emails), sending of apology/regret replies ifunrelated to division business and forwarding only to GM allpotential businesses for his review
    • Completes abroad variety of administrative tasks for the RGM including:managing an extremely active and dynamic calendar of appointments;completing expense reports; composing and preparing correspondencethat is often confidential; arranging complex and detailed travelplans, itineraries, and agendas; and compiling documents fortravel-related meetings with scheduling & itsdetails.
    • Plans, coordinates, and ensures theGM's schedule is followed and respected. Provides'gatekeeper' and 'gateway'role, creating win-win situations for direct access to theRGM's time and office. Ensuring open doorpolicy.
    • Assists in scheduling Divisionmanagement team meetings as necessary.
    • Worksclosely and effectively with the RGM to keep him well informed ofhis schedule, following upappropriately.
    • Communicates directly, and onbehalf of the RGM with DM and personnel.
    • Workswithin broadly defined guidelines within the division such as,takeover other functions such as HR admin and Receptionist in theirabsence and provide assistance to the market Hall employees asrequired.
    • Works as a back-office support forcustomers ensuring their complaints and request are channeled toconcerned parties.
    • Coordinates with travelagencies and hotel reservations officers asrequired.
    • Coordinates with different embassiesto ensure that their policies and procedures are well observed toensure smooth and fast application ofvisas.
